Most hospitality teams already have a team communication app. It is a WhatsApp group, it has the rota in it somewhere, and it has two ex-employees still reading it. The reason to replace it is not that the messaging is worse, because it is not: it is that the group knows nothing about who works for you. It cannot remove a leaver, it cannot tell you who read the allergen change, and it cannot produce a record a year later when it matters. ### The test is the leaver, not the emoji

Every one of these sends a message well. What separates them is what happens at 5pm on the day somebody resigns. If the chat is built from your staff records, switching the account off removes them from every channel at once, including the one where tomorrow's door code was posted. If it is a group somebody set up, they stay in it until a manager remembers. Ask any tool you shortlist to show you that moment in the demo.

### Read is not the same as acknowledged

Two ticks tell you a phone received a message. They do not tell you the person read the allergen change, and they are worth nothing in an investigation. What you want is a broadcast you can mark as needing acknowledgement, a report that names who has not responded, and a reminder that chases them without you doing it by hand.

### Personal phones, personal numbers

A WhatsApp group shares every member's mobile number with every other member, including the chef who left in March. Staff also have a reasonable expectation that their manager is not reading their private messages. Look for a tool that keeps work messages in a work app, states plainly who can see a direct message, and records it when somebody does.

### Count the seats before you compare the sticker

Per-user pricing looks cheap next to a per-location price until you count a twenty-person venue with a dozen casuals who work one shift a fortnight. Work the monthly cost out at your real headcount, at the turnover you actually have, and then compare. Free tiers usually cap at ten people, which is under a single venue's team.

### Ask where the history goes

Chat becomes evidence at exactly the wrong moment: a grievance, an inspection, a claim. Ask whether you can export a conversation as a PDF with author names and server timestamps, how long messages are kept, whether you control that, and whether you can put a hold on a thread so the retention sweep leaves it alone.

For a single venue the question is whether you want a messaging app that sits alongside your rota and records, or one that is part of them. **Is WhatsApp good enough for staff communication?**

It works until it does not. A WhatsApp group shares personal mobile numbers with everyone in it, keeps ex-employees until somebody removes them by hand, gives you two ticks instead of an acknowledgement, and produces nothing you would want to rely on at a tribunal. **Can staff pick up shifts from a chat app?**

In some. Paddl posts open shifts into the site channel as a card staff tap to claim, either booking them straight in or sending the claim to a manager, and the rota updates without anyone retyping it. 7shifts and Homebase handle shift pickup in the scheduling part of the product rather than in the chat. **How do shared venue tablets work with a chat app?**

Badly, in most of them: the tablet is signed in as one account and everything anyone does is attributed to that person. Paddl has a device mode where the tablet is signed in as a device and staff tap in with a name and a PIN, so check-ins and messages belong to whoever is actually stood there. If you run tablets, ask about this early, because it is the difference between a record and a guess.
