Every contractor verified, every shift
Manage door staff, agency workers, and contract teams with portable credentials, event-based access, and automated compliance tracking.
Contract workers are a compliance blind spot
When a door supervisor's SIA licence expired last month, would you know?
Unverified credentials
Door staff show up with expired SIA licences. Agency caterers claim food hygiene training but you have no proof. You're liable if something goes wrong.
Paper-based records
SIA licence numbers scribbled on clipboards. DBS certificates photocopied and filed in drawers. No way to verify anything quickly when an inspector asks.
Re-collecting everything
The same contractor works for you every weekend but you collect their documents from scratch each time. They're frustrated, you're wasting time.
No audit trail
If there's an incident involving a contractor, can you prove they were properly credentialed? Without digital records, you're exposed.
One system for all your contract workers
Paddl gives contractors a portable profile that follows them between venues. Define what credentials each type of contractor needs, invite them once, and let the system handle verification, expiry tracking, and compliance records.
Portable Credentials
Contractors submit their SIA licence, DBS check, food hygiene certificate, and insurance once. When they work at a different venue, their credentials follow them automatically.
Group-Based Requirements
Define what each type of contractor needs: door staff need SIA licences, caterers need food hygiene certs, electricians need ECS cards. Set it once, enforce it always.
Event-Based Access
Assign contractors to specific events with dates and roles. When the event ends, access is automatically revoked. No more forgotten temporary workers lingering in your system.
Credential Review Queue
When a contractor submits their credentials, managers get notified and can approve or reject with a note. Full audit trail of who reviewed what and when.
Expiry Alerts
Automatic warnings when SIA licences, DBS checks, or insurance policies are about to expire. Contractors and managers are both notified at 30, 14, and 7 days.
Compliance Register
One-click audit pack includes a full contractor compliance register. Every credential, every signature, every check-in, timestamped and ready for inspection.

Common questions about contractor management
How do portable credentials work across businesses?
When a contractor registers, they create a profile with their credentials (SIA licence, DBS check, etc.). When another venue invites them, their credentials are already on file. The new venue just needs to review and approve them, no re-uploading needed. This takes about 30 seconds instead of starting from scratch.
What credentials can I track for contractors?
You can track any credential type: SIA licence numbers and expiry dates, DBS certificates, food hygiene certificates, public liability insurance, PAT testing certificates, ECS cards, COSHH training, right to work documents, and more. You can also require contractors to sign specific documents like venue policies.
How does event-based access work?
Create an event with a name, location, and date range. Assign contractors with specific roles (e.g. "Main Entrance", "VIP Area"). Contractors see the event in their app and can check in on the day. When the event ends, you can automatically deactivate the contractors, or leave them active for the next event.
Is contractor management free?
Yes. Contractors don't count toward your subscription user limit. You can invite as many contractors as you need at no additional cost. This makes it practical to manage even occasional or one-off contract workers.
How does this help with GDPR compliance?
When a contractor is removed, their profile is anonymised but compliance snapshots are retained. This means you can prove a contractor was properly credentialed at the time they worked for you, without retaining their personal data longer than necessary.
What happens if a contractor's SIA licence expires?
Paddl sends automatic warnings at 30, 14, and 7 days before expiry to both the contractor and your managers. If the licence expires, the contractor's compliance status changes to non-compliant and they appear flagged in your dashboard. You can configure whether to auto-deactivate expired contractors or handle it manually.
