Can AI Review and Update My HACCP Plan?
How AI keeps a HACCP plan current: what Review with AI checks, what it suggests, and how updating an existing plan differs from generating a new one.
Yes. Paddl can re-check an existing HACCP plan against your current menu, allergens and chemicals, then suggest the specific changes so you update the plan instead of rewriting it.
Key Facts
In Detail
A HACCP plan is only useful if it reflects what your kitchen actually does today. Menus change, you take on a new supplier, you start using a different oven cleaner, and over time the plan drifts away from reality. Traditionally this is caught at the annual review, if at all, and updating the document by hand is the kind of job that gets put off. AI changes that by doing the comparison for you and proposing the edits. In Paddl, opening an existing plan gives you a Review with AI option. It reads your current plan, the CCPs and hazards already in it, and the live data from the rest of the system: the products you serve, the allergens and cross-contamination risks recorded on your menu items, the COSHH chemicals on site with their hazard statements, and any recent complaint patterns. It then returns a short summary of whether the plan is still adequate and a list of specific suggestions, each with the reason behind it. A new chemical with no chemical control point, an allergen that is not yet covered, or a process that has changed will all show up. You stay in control of what happens next. Each suggestion has an Apply button, so you choose which ones to fold in rather than accepting a wholesale rewrite. Applying a change updates the plan through the normal route, which means version history, staff sign-offs and any multi-site structure are all handled correctly. When you are done you can sign off a proper review with the AI summary attached, so there is a clear record that the plan was checked and by whom. Because the plan is updated in place, you keep its history rather than starting again with a fresh draft.
What the AI Checks
The review looks at the plan against the current state of your business. It reads the process steps, CCPs and hazards already in the plan, then compares them to what Paddl knows now: the products and cooking methods on your menu, the declared allergens and may-contain risks on your menu items, the COSHH chemicals on site with their signal words and hazard statements, and complaint patterns from the last year. The aim is to surface differences, such as an allergen item or chemical that has appeared since the plan was written and is not yet controlled, rather than to second-guess decisions you have already made and documented.
Update Versus Create New
When you start the HACCP builder and a plan already exists, Paddl asks whether you want to update the existing plan or create a new one. Updating is usually the right choice: it keeps the version history, the staff sign-offs and, for multi-site businesses, the link between the master plan and each site. Creating a new plan is there for the genuine cases where you need a separate plan, for example a new location or a distinct production area. This prompt is what stops you accidentally building a second draft every time you revisit the builder.
Frequently Asked Questions
Does the AI change my plan automatically?
No. It only suggests changes. Nothing is altered until you press Apply on a suggestion, and you choose which ones to apply. This keeps a person in control of a regulated document.
Will updating with AI reset my staff sign-offs?
Applying a change goes through the same route as any manual edit. If the change is significant enough to require re-acknowledgement, staff are asked to sign off again, exactly as they would be if you had made the change by hand. Your version history stays intact.
How often should I run Review with AI?
A good time is whenever something material changes, such as a new menu, a new supplier or a new cleaning chemical, and again at your scheduled review. It takes a couple of minutes, so there is little reason to wait for the annual review to catch drift.
