In one sentence

Paddl is hotel group food safety and compliance software for the UK: each hotel keeps its own business, records and billing, head office holds HACCP plans, risk assessments, fire procedures and routines as masters that each hotel reviews and approves, and the organisation home shows readiness for every hotel without exposing its staff or records, at £69 per site per month.

Many hotels, many departments, one standard

What the regional director cannot see from head office

Every hotel is its own company

Hotels are often bought, financed and run as separate entities. Head office sets the standard, but each hotel has its own accounts, its own general manager and its own inspections.

Kitchens, bars and housekeeping in one building

The restaurant needs a HACCP plan, the bar has its own checks, housekeeping works with chemicals, and the whole building needs a fire risk assessment. That is several compliance systems per hotel.

The group policy is a different file at every hotel

Head office writes the fire procedure and the cleaning SOP. Each hotel adapts its copy, and the next revision from head office has to be merged by hand, if anyone notices it.

Head office sees a hotel when something goes wrong

The regional director learns about a missed fire drill or a lapsed food safety plan from an inspector or a guest, not from a report.

Every hotel to the group standard

Each hotel runs its own checks and records. Head office sets the standard once and sees which hotels are keeping it.

One business per hotel, one organisation above

Run each hotel as its own Paddl business with its own records, staff, approval and subscription, and tie them together in an organisation. If your hotels share one company, they can also run as sites in one business.

A head office library for every hotel

HACCP plans, SFBB packs, risk assessments, SOPs and policies such as the group fire procedure, documents and routines are held as masters. Add one to chosen hotels; each gets a draft for its own approver, matched to its own routines and equipment.

Kitchens, bars and housekeeping inside each hotel

Within a hotel, Paddl covers HACCP and temperature checks for the kitchens, routines for the bars, COSHH and risk assessments for housekeeping, and the fire log and fire risk assessment for the building.

Readiness for every hotel on one page

The organisation home shows each hotel business: readiness score and status, readiness per area of compliance such as food safety, fire and health and safety, library updates waiting and overdue, and whether it is live.

Group policy changes, reviewed by each hotel

Change a master and publish an update with a change note. Each hotel reviews it section by section beside its own version. Mark it Required with a due date and lock the sections that are group policy.

Area managers for a cluster of hotels

Group hotels into areas and give an area manager the sites in theirs. Manager access inside each hotel business is granted in one action. The organisation sees readiness and status, never a hotel's staff, records or documents.

Rollout

How each hotel goes live

Each hotel business sets up its own sites like this, usually inside two weeks. A hotel added to the organisation is then offered every master it does not have, in one go.

  1. 1

Create the account with your site count

Every site gets its own location, settings and records from day one. Groups of three or more sites are offered a setup call on the success screen.

  2. 2

Invite managers and choose their sites

Owners see everything. Each manager sees only the sites they are given, on the desktop and in the mobile manager view.

  3. 3

Assign the library to the sites that need it

Routines, HACCP plans, SFBB packs, risk assessments, documents and training modules assigned to some sites or all of them in one action, then completed per site.

  4. 4

    Every site starts scoring

A daily compliance score per site built from its own checks, records, documents, equipment and training, lined up in the all-locations view.

  5. 5

The Monday digest and the audit pack

The weekly digest lists what is overdue and expiring at each site. When an inspector, insurer or landlord asks, generate that site's evidence pack.

Common questions from hotel groups

Should each hotel be its own business in Paddl?

If a hotel is its own company with its own accounts, make it its own business and join the businesses in an organisation. If your hotels share one company, they can be sites in one business with managers scoped to their hotels. Both keep a separate set of records for each hotel.

How are hotel groups billed?

Each business pays for its own sites at £69 per site per month, with every feature and no volume discount. Billing stays per business, permanently, so each hotel company has its own subscription. The organisation is free for anyone who owns two or more live businesses.

What does head office see for each hotel?

Readiness scores and status, readiness per area of compliance, counts, and the status of library items and updates. Head office does not see a hotel business's staff, records or documents through the organisation.

How does a new group fire or food safety procedure reach every hotel?

Head office changes the master and publishes an update, to every hotel, one area or chosen hotels. Each hotel reviews it section by section and approves it. A Required update has a due date, reminders three days before, and shows as overdue to head office once the date passes.

What happens if we sell a hotel?

The hotel business leaves the organisation, or the organisation removes it. Its linked items become its own independent copies with history kept, and nothing is deleted. Its records and subscription were always its own.
