In one sentence

Paddl is contract catering food safety software for UK caterers: HACCP plans, SFBB packs, SOPs and routines are held as masters and rolled out to each client site as drafts it approves, procedure changes go out as updates that can be Required with a due date, and head office sees readiness across sites, at £69 per site per month billed to each business.

Your standard, someone else's kitchen

What head office needs to hold across client sites

Every client site is a different kitchen

Offices, schools, hospitals and venues each come with their own equipment, storage and client rules. The food safety standard has to hold in all of them.

Contracts are run and costed separately

Many caterers run each contract, or each group of contracts, as its own business or cost centre. One shared system account cuts across that.

A procedure change has to reach every site

When head office changes the allergen procedure or the cooling method, every site manager needs the new version, and head office needs to know who has adopted it.

Head office cannot visit every contract

Operations managers cover dozens of client sites. They need to know which sites are ready for an inspection or a client audit before they get in the car.

One standard, set once, kept at every site

Each site keeps its own records. Head office keeps the masters and sees which sites are up to date.

One library for every client site

HACCP plans, SFBB packs, risk assessments, SOPs and policies such as the allergen procedure, documents and routines are held as masters. Add one to chosen businesses and sites, matched to each site's own routines, equipment and suppliers.

Each site approves its own copy

A rolled-out master arrives in each business as a draft for its own approver, linked to the master. Nothing goes live until the business approves it, so each site's plan still reflects its own kitchen.

Required updates when procedures change

Change a master and publish an update with a change note. Mark it Required with a due date and lock the sections that must not vary. Each business reviews it section by section; reminders go three days before the date and overdue shows to head office.

Billing kept separate per business

If you run contracts as separate Paddl businesses, each keeps its own subscription and billing, permanently. The organisation ties them together without merging them and has no invoice of its own.

Readiness across sites for head office

The organisation home shows every business: readiness score and status, readiness per area of compliance, library updates waiting and overdue, and whether it is live. View it by business or by area.

Area managers for a patch of contracts

Group sites into areas across businesses and give an area manager the sites in theirs. Inside each site, the team keeps doing checks, temperatures and allergen records on the Paddl app.

Rollout

How each contract goes live

Each business sets up its sites like this, usually inside two weeks. A business added to the organisation is then offered every master it does not have, in one go.

  1. 1

Create the account with your site count

Every site gets its own location, settings and records from day one. Groups of three or more sites are offered a setup call on the success screen.

  2. 2

Invite managers and choose their sites

Owners see everything. Each manager sees only the sites they are given, on the desktop and in the mobile manager view.

  3. 3

Assign the library to the sites that need it

Routines, HACCP plans, SFBB packs, risk assessments, documents and training modules assigned to some sites or all of them in one action, then completed per site.

  4. 4

    Every site starts scoring

A daily compliance score per site built from its own checks, records, documents, equipment and training, lined up in the all-locations view.

  5. 5

The Monday digest and the audit pack

The weekly digest lists what is overdue and expiring at each site. When an inspector, insurer or landlord asks, generate that site's evidence pack.

Common questions from contract caterers

Should each client contract be a separate business in Paddl?

It depends how you run them. Contracts run as separate companies or cost centres can each be their own business, joined in an organisation. Contracts run under one company can be sites in one business, with managers scoped to their sites.

How is a contract caterer billed?

Each business pays £69 per site per month with every feature and no volume discount. Billing stays per business, permanently, so a contract run as its own business has its own subscription. The organisation is free for anyone who owns two or more live businesses.

Can we keep one HACCP plan but let each site adapt it?

Yes. Each business gets its own linked copy of the master and approves it. When you publish an update, each business reviews it section by section and takes or keeps each part; sections you lock can only change through your updates.

What does head office see at each site?

Through the organisation, head office sees readiness scores and status, counts, and library and update status for each business. It does not see a business's staff, records or documents that way. Where the head office team also manages the business directly, its normal business access applies.

What happens when a contract ends?

The business can leave the organisation or be removed. Its linked items become its own independent copies with history kept, and nothing is deleted.
