Updated: 2026
The short list

Paddl includes team chat at £69 per location per month, with 5 owner and manager users per location, £2.99 a month for each extra, and staff do not take a seat; Connecteam is free up to 10 employees then from $29 a month for the first 30 users, Blink from $3.75 per user, Homebase from $30 per location, 7shifts from US$39.99 per location, and All Gravy publishes $375 a month for teams under 50.

  • Paddl: Chat that already knows the rota
  • Connecteam: Deskless teams on a free tier
  • All Gravy: Hospitality engagement and onboarding

Most hospitality teams already have a team communication app. It is a WhatsApp group, it has the rota in it somewhere, and it has two ex-employees still reading it. The reason to replace it is not that the messaging is worse, because it is not: it is that the group knows nothing about who works for you. It cannot remove a leaver, it cannot tell you who read the allergen change, and it cannot produce a record a year later when it matters. We compared the tools built for shift teams on the things a group chat cannot do: membership that follows the rota, broadcasts that come back with an acknowledgement, shifts you can claim from the thread, shared tablets, translation for a kitchen that does not share a first language, and an export you could hand to a solicitor.

We compared each product on the questions that separate a staff app from a group chat: whether membership follows the rota, whether a broadcast comes back with an acknowledgement, whether shifts can be claimed from the thread, how shared tablets and translation are handled, and what the history is worth as evidence. Prices are the published ones on the dates shown. Paddl is our own product and is listed first; the strengths and weaknesses of every pick, including ours, are stated the same way.

How We Evaluated

1

Who is in the chat

Whether channels are built from the rota and staff records, so a new starter is in on day one and a leaver is out the moment their account is switched off, rather than a manager remembering to add and remove people.

2

Proof somebody read it

Read receipts on a broadcast, and a tap-to-acknowledge for the ones that matter, with a report naming who has not responded.

3

Shifts in the conversation

Open shifts posted where staff already are, claimable in a tap, with the rota updated rather than a manager retyping it.

4

Shared devices and language

A venue tablet that several people use without one person's login covering everyone, and translation for teams that do not share a first language.

5

Evidence and privacy

Exportable history with author and timestamp, retention you set, legal hold, and a stated position on who can read direct messages.

6

What it costs at a venue

Monthly cost for one site with twenty staff, and whether the price climbs with headcount.

Buying Guide

The test is the leaver, not the emoji

Every one of these sends a message well. What separates them is what happens at 5pm on the day somebody resigns. If the chat is built from your staff records, switching the account off removes them from every channel at once, including the one where tomorrow's door code was posted. If it is a group somebody set up, they stay in it until a manager remembers. Ask any tool you shortlist to show you that moment in the demo.

Read is not the same as acknowledged

Two ticks tell you a phone received a message. They do not tell you the person read the allergen change, and they are worth nothing in an investigation. What you want is a broadcast you can mark as needing acknowledgement, a report that names who has not responded, and a reminder that chases them without you doing it by hand.

Personal phones, personal numbers

A WhatsApp group shares every member's mobile number with every other member, including the chef who left in March. Staff also have a reasonable expectation that their manager is not reading their private messages. Look for a tool that keeps work messages in a work app, states plainly who can see a direct message, and records it when somebody does.

Count the seats before you compare the sticker

Per-user pricing looks cheap next to a per-location price until you count a twenty-person venue with a dozen casuals who work one shift a fortnight. Work the monthly cost out at your real headcount, at the turnover you actually have, and then compare. Free tiers usually cap at ten people, which is under a single venue's team.

Ask where the history goes

Chat becomes evidence at exactly the wrong moment: a grievance, an inspection, a claim. Ask whether you can export a conversation as a PDF with author names and server timestamps, how long messages are kept, whether you control that, and whether you can put a hold on a thread so the retention sweep leaves it alone.

Frequently Asked Questions

What is the best team communication app for a restaurant?

For a single venue the question is whether you want a messaging app that sits alongside your rota and records, or one that is part of them. Connecteam and Blink are strong standalone staff apps priced per user, and Homebase and 7shifts bundle messaging with scheduling. Paddl includes team chat with the rota, training and compliance records at £69 per location per month, with 5 owner and manager users per location, £2.99 a month for each extra, and staff do not take a seat, so channels are built from the rota and a leaver is removed when their account is switched off.

Is WhatsApp good enough for staff communication?

It works until it does not. A WhatsApp group shares personal mobile numbers with everyone in it, keeps ex-employees until somebody removes them by hand, gives you two ticks instead of an acknowledgement, and produces nothing you would want to rely on at a tribunal. For a five-person cafe it is fine. For a venue with turnover, it is a risk you are carrying quietly. We wrote up the switch in detail on the WhatsApp groups page.

Can staff pick up shifts from a chat app?

In some. Paddl posts open shifts into the site channel as a card staff tap to claim, either booking them straight in or sending the claim to a manager, and the rota updates without anyone retyping it. 7shifts and Homebase handle shift pickup in the scheduling part of the product rather than in the chat. Connecteam and Blink are messaging tools first: the rota, if you use theirs, is a separate screen.

How do shared venue tablets work with a chat app?

Badly, in most of them: the tablet is signed in as one account and everything anyone does is attributed to that person. Paddl has a device mode where the tablet is signed in as a device and staff tap in with a name and a PIN, so check-ins and messages belong to whoever is actually stood there. If you run tablets, ask about this early, because it is the difference between a record and a guess.

Do these apps work for a team that does not share a first language?

Paddl translates a message into the reader's own language on request and shows the original alongside it, across 12 languages, and the app itself runs in all of them. Others rely on the phone keyboard or a copy and paste into a translator, which people do once and then stop doing.

What does a team communication app cost?

Per user, mostly: Blink from $3.75 a user a month and Deputy-style per-head pricing elsewhere, with free tiers that cap around ten people. Per-location pricing is the exception: Homebase from $30 a location, 7shifts from US$39.99, and Paddl at £69 per location per month, with 5 owner and manager users per location, £2.99 a month for each extra, and staff do not take a seat. Work it out at your headcount rather than from the headline.
