Staff Training Management

Track Every Certificate, Close Every Training Gap, Prove Every Competence

Your head chef's Level 3 Food Safety certificate expired four months ago and nobody noticed.

Your head chef's Level 3 Food Safety certificate expired four months ago and nobody noticed. Two kitchen assistants never completed their allergen awareness training because it was scheduled during a week they were on holiday, and the follow-up never happened. Your EHO arrives and asks for evidence that your team is trained, and you spend ten minutes searching a filing cabinet for certificates that may or may not still be there. Under Regulation (EC) 852/2004, Annex II, Chapter XII, food business operators must ensure that food handlers are supervised and instructed and/or trained in food hygiene matters commensurate with their work activity. Paddl gives you a complete training management system where every certificate is tracked, every expiry is flagged, and every team member's competence is documented and provable.

What businesses struggle with

Expired Certificates Go Untracked

Level 2 and Level 3 Food Hygiene certificates, first aid qualifications, and allergen awareness training all have expiry dates. Without active tracking, they lapse silently.

No Central Training Records

Training evidence is scattered across paper files, emails, and the memories of individual managers. There is no single view of who is trained in what.

Inconsistent Standards Across Roles

Kitchen porters, chefs, front-of-house staff, and managers all need different training. Without defined role requirements, some team members receive excessive training while others have gaps.

New Starters Fall Through the Cracks

During busy periods, new staff start working before completing all required training. The intent is to catch up later, but later never comes and the gap persists.

Training Is Not a One-Time Event

Food safety training is not something that happens once during onboarding and then gets forgotten. Certificates expire, regulations change, new allergens are added to menus, and procedures evolve. A training management system needs to handle the ongoing lifecycle of staff competence, not just the initial sign-off.

Most food businesses track training informally: a spreadsheet that someone updates occasionally, a folder of certificates that nobody checks, and verbal reminders that get lost in the noise of a busy kitchen. The result is expired qualifications, undocumented competence, and inspection findings that could have been prevented.

Paddl treats training as a continuous process. Define what training each role requires. Track when team members complete it. Monitor expiry dates automatically. Send reminders before certificates lapse. Record sign-offs with timestamps. The system ensures that training stays current without requiring constant manual oversight.

Common questions

What food safety training is legally required in the UK?

There is no specific legal requirement for formal food hygiene certificates. However, Regulation (EC) 852/2004 requires that food handlers are trained commensurate with their role. In practice, most local authorities expect at minimum Level 2 Food Hygiene for anyone handling food, and EHOs routinely check for evidence of training.

How often do food hygiene certificates need renewing?

There is no legal renewal period, but industry best practice is every three years. The Chartered Institute of Environmental Health recommends refresher training every three years, and most EHOs expect to see current certificates. Paddl lets you set custom renewal periods for each qualification type.

Can I track non-food-safety training in Paddl?

Yes. While Paddl is designed for food safety compliance, you can track any training type: first aid, fire safety, manual handling, health and safety, or company-specific procedures. The system is flexible enough for all staff development tracking.

How does Paddl handle staff who work across multiple locations?

A team member's training records follow them across all locations they are assigned to. If they complete allergen training at one site, it is reflected in their profile everywhere. Location-specific training (like site inductions) can be set as location-level requirements.

Can team members upload their own certificates?

Yes. Team members can upload certificates through the mobile app. Managers then review and approve them, at which point the certification date and expiry are recorded in the system.
