Multi-site compliance software is the layer between head office and the kitchens: it holds each site's food safety, training and operational records, shows every site's state on one screen, and pushes one standard out to all of them. The market splits three ways. Checklist platforms (Trail, SafetyCulture) digitise the daily checks and report completion. Operations execution platforms (Crunchtime, Operandio) add task management, audits and training for multi-unit chains, mostly built for North America. Checklist app, operations platform or compliance platform?

Decide what the software is for before comparing features. If the problem is paper checklists at 20 sites, Trail or SafetyCulture solve it. If the problem is brand execution across franchisees, Operandio or Crunchtime were built for it. If the problem is proving food safety compliance to twenty different local authorities and seeing which site will fail next, you need the compliance system itself (HACCP, SFBB, allergens, training, licences) per site with the estate view on top, which is Paddl, Navitas or Mapal OS. Most UK groups under fifty sites are in the third group and buy from the first.

Restaurant group operations software: what "operations" should mean

Vendors use "restaurant group operations software" to mean anything from a rota tool to an ERP. For a compliance buyer the operations that matter are the daily routines, the equipment and maintenance records, the supplier and delivery checks, the training records and the handovers, because those are the records the inspector and the insurer ask for. Payroll, inventory and EPOS belong to a different purchase. Ask each vendor which of the inspector's questions their product answers on the day.

What to test in a demo

Ask to see a manager scoped to three of nine sites and what they can and cannot see. Ask to change one routine and watch it reach every site. Ask for the audit pack for one site. Ask what the Monday view looks like for head office. Ask for the price for your exact site count in writing before the call ends; if the answer is a follow-up call, that is the answer.

Pricing models and what they cost at 12 sites

Per-site pricing (Paddl) is predictable: 12 sites cost 12 times one site and adding a site is a click. Per-user pricing (SafetyCulture, and rota tools such as Deputy) scales with headcount, so a 12-site group with 180 staff pays for 180 seats. Quote-based pricing (Trail, Mapal OS, Navitas, Operandio, Crunchtime) usually bundles onboarding and support and is negotiated per estate. None of the quote-based vendors publish a figure, so budget time for a sales cycle before you know.
